Summary: One Friday a week was all he had, and it kept getting wasted on calls that should have been emails.

What was happening

A WordPress developer was running his freelance business on a single day a week. Fridays were his window: the only time he could take discovery calls alongside a full-time 9-5. Prospects arrived without context. Sessions filled with basic questions that had nothing to do with actually scoping the project. The manual intake process was slow and relied entirely on follow-up emails he had to write by hand. Gauging whether someone was serious before the call was pure guesswork. Every wasted Friday cost him time he could never get back.

What I did

The starting point was mapping exactly what information would make a discovery call worth having. From there, I built a 5-email automated sequence in MailerLite, triggered the moment a prospect submitted the contact form. Each email collected a specific layer: goals and timelines, current setup and access credentials, design references and feature priorities. Google Forms handled the responses, using a mix of multiple-choice and fill-in-the-blank questions to keep answers focused. I rebuilt the contact page in Kadence to set clear expectations around Friday-only availability from the first visit. Then came five months of watching how real prospects moved through the sequence, iterating based on response patterns across 10 live discovery calls.

What changed

  • Discovery calls shifted from intake sessions to strategic consultations, with the developer arriving fully briefed every Friday.
  • Qualified leads arrived better prepared, while uncommitted prospects naturally fell away during the multi-step intake process.
  • The automated sequence removed the manual follow-up burden entirely, returning hours he had been spending chasing basic information
  • A professional intake experience gave his referral-based business a polished, scalable front door that matched the quality of his actual work.

Reflective: When someone’s time is genuinely limited, the best thing you can build for them is a system that protects it before they even show up.
